How to create one source of truth for an event

A practical system for keeping decisions, suppliers, attendee details, and schedule changes accurate without creating more admin.

Event information changes constantly. The problem is not change itself—it is having several documents that each contain a different version of the truth.

A single source of truth gives organisers, suppliers, and attendees the right level of current information while preserving clear ownership.

Decide what belongs in the master plan

The master plan should hold the event objective, attendee count, schedule, locations, supplier contacts, commercial status, accessibility requirements, and important deadlines. It should link to detailed files rather than duplicating them.

Add a visible status to every item: proposed, awaiting approval, confirmed, changed, or cancelled. This makes uncertainty clear instead of hiding it inside comments and email threads.

  • Confirmed schedule and operational timings
  • Supplier owner, contact details, and contractual deadlines
  • Attendee requirements and communication status
  • Open decisions with an owner and decision date

Design permissions and ownership

One person should own the structure and final accuracy, but that does not mean one person must enter every update. Give contributors clear areas of responsibility and avoid unrestricted editing of confirmed details.

Record who approved meaningful changes. A simple decision log prevents the team from reopening settled questions and helps new stakeholders understand why a choice was made.

Create useful views for each audience

Organisers need operational depth, finance needs costs and approvals, suppliers need precise delivery information, and attendees need a simple experience. These views can come from the same plan without exposing every internal note.

Set a regular review rhythm as the event approaches. During the final week, confirm that every attendee-facing message matches the operational schedule.
